General Policy Statement

Our aim is to ensure that safe working practices are adopted by all directors, employees, trainees and contractors.

We are committed to teach practices and procedures that are conducive to the health and safety of everyone concerned. We are aware that it is important for us to lead by example as far as reasonably practicable.

Responsibility for health and safety is equal with all other primary concerns of the company. The board of directors are wholly committed to this policy and seeks the cooperation of all concerned to implement it.

This policy will be continually monitored and reviewed.         

Organisation responsibilities and duties

It is the duty of every director, employee, trainee and contractor while at work to take reasonable care for the health and safety of himself and other persons who may be affected by his acts or omissions. 

The Managing Director is responsible for seeing that staff, trainees and contractors understand and perform their duties with respect to health and safety. Each Manager and each tutor/assessor is responsible for their own learners, including freelance tutors. 

At all times employees and freelance staff must comply with all legislation. Due regard must be given to the relevant codes of practice and guidance notes issued by the appropriate authorities, e.g., health and safety commission and industrial standards’ organisations. 

Although company health and safety will be constantly monitored and amended as necessary, the company health and safety policy will be frequently reviewed at management meetings. 

Employees are able to raise health and safety matters/concerns/ suggestions at any reasonable time and will be encouraged to do so. These matters will be overcome immediately or referred to the Managing Director. 

Everyone concerned must recognise their own individual duties and responsibilities. Failure to this may result in risk to health and safety; disciplinary action and prosecution in the courts.


The overall responsibility for health and safety in the company is the Managing Director. 

In the absence of the Managing Director it will be the responsibility of the most senior person at work. 

All employees have the responsibility to co-operate with management and colleagues to achieve a healthy and safe workplace, and to take reasonable care of themselves and others. 


Whenever an employee or trainee notices a health and safety issue/concern that they are not able to easily remedy themselves, they must inform the Managing Director immediately.


It is the responsibility of all employees to report as soon as practicable any accident or dangerous occurrence to the Managing Director or a member of the management team. All accidents or dangerous occurrence must be recorded in the accident book(s). The circumstances of such accidents will be investigated and their causes determined. Recommendations’ may be made to prevent reoccurrence. The statutory reporting of prescribed accidents, dangerous occurrences and industrial diseases is the responsibility of the Managing Director through the RIDDOR system. In his absence it will be the responsibility of the management team.


First aid boxes are located in the kitchen in The Hive. When items are used, this must be reported to The Managing Director who will ensure the items are replaced. 


In the event of a fire premises must be evacuated immediately. Summon the fire service and ensure that everyone remains outside at the assembly point and away from the hazard. Everyone must gather at the fire assembly point which is located in the car park. When appropriate always leave the in an orderly fashion and close doors behind you.


In the event of a fire or serious injury, emergency help must be summoned. Call 999 for the ambulance or fire services. If deemed necessary and safe to do so, the casualty may be evacuated to the Accident and Emergency Department of the nearest NHS hospital.


It should be considered that the enforcing authority, including the police, may wish to investigate any accident. They may require that the scene of the accident remains undisturbed, providing it is safe to do so, until their investigations have been completed.

Employees, trainees and contractors must provide and maintain safe access and egress to and from all work areas. This includes offices, classrooms and training areas.


No-one must use faulty or suspect equipment. Such equipment must be taken out of use and labelled “do not use” and kept secure until checked by a competent person.

Power sockets/outlets are to be switched off before plugging in or unplugging appliances. All appliances must be unplugged before cleaning or making adjustments. Sockets should never be overloaded. Do not use electrical appliances where water or moisture could make them a hazard.


Everyone is responsible for the prevention of fires. Due care and attention must be taken when using electrical appliances and other potential sources of ignition. Consideration must be given to placing ignition sources well away from combustible or flammable materials. Ensure that the locations and types of extinguishers are known and their particular uses are understood. Fire exits are marked and must remain unlocked and free from obstruction. Combustible rubbish must not be accumulated unnecessarily. Office rubbish bins must not be used for disposing of matches or cigarette butts. Rubbish bins must not be sited near heaters.


The office is a smoke-free zone.
Smoking is permissible at dedicated smoking zones only at The Hive.


The consumption of alcohol and drugs which could impair ability and affect safety is prohibited.


Loud noise
noise level exceeds 85dB(A)then this must be reported and steps taken to reduce the noise level or adjust the working environment by making the source of noise further away.

If you cannot hear clearly what someone is saying when you are 2 meters away, the level is likely to be around 85dB(A) or higher.


Care should be taken to prevent the overloading of electrical sockets and the trailing of wires/cables. Electrical appliances and equipment must be located on a firm level surface securely and safely.

Extension leads must be completely unwound before use.

Filing cabinets must not be allowed to become top heavy by unloading/loading incorrectly.

Items must not be stored or placed on top of heaters.

All electrical appliances must be switched off at the end of the day or if it is not going to be used regularly.

Ensure the photo copier lid is closed before copying to prevent damage to your eyes.

Never wear loose garments and ensure your hair is tied back before using the paper shredder.

Good posture is important when operating keyboards and using VDU’s. Tasks should be varied to prevent eye strain or strain from long term posturing.

Ensure toilets and wash basins are kept clean after use. Ensure classrooms are kept clean and tidy.


All cutlery and crockery must be put in the dishwasher or left on the side if it is full. Sink and work surfaces should be kept clean and tidy and free from rubbish and food contaminates.


Tutors/assessors who are required to work on customers’ premises must acquaint themselves with the company safety policies and site rules. The tutor/assessor must satisfy him/herself that all safe practices are followed.

It is necessary to conduct a health and safety check prior to training/assessment and any hazards addressed. This must be completed on the Health and Safety Checklist, any risks identified must be documented on the risk assessment form. The training area should be free from hazards and non-essential personnel.


The use of mobile phones must be restricted when driving, all tutors/assessors must comply with their legal duties and obligations. While driving phone messages should not be read or sent.


This policy will be reviewed and or amended regularly by listening to advice, monitoring the accident book/records, by keeping up to date with changes in legislation, codes of practice and deciding on best practice at Directors meetings.
